Company Defaults, Community Overrides
Settings live at three levels: the company, the portfolio, and the community. The company's chart of accounts seeds every new community. Request forms, the collections ladder, the email theme, folder access, and module switches are set once and overridden only where a community differs, and the override shows beside the default so nobody has to hunt for it.
- Three levels: company, portfolio, community
- A company chart of accounts that seeds each community on day one
- Forms, ladders, themes, and folder rules set once, overridden where needed
Company defaults
Set once · 38 communities follow
A new community starts on the company's chart, forms, ladder, theme, and folder rules the day it is added. Statutory steps in a state's ladder stay in whatever anyone sets.
One Inbox for Every Community
Email, texts, and letters from every owner in every community land in one inbox, on the person's record, with the community beside each row. Filter to your own communities or all of them, assign, set follow-up dates, answer with saved replies, and keep internal notes. Vendor bills arrive the same way and route for approval. A manager can open an owner's portal as that owner, with every action logged under the manager's name.
- Every community's email, texts, and letters in one inbox, on the person's record
- Assignment, follow-ups, saved replies, internal notes, a reply target the team can see
- Act as an owner from the unit or the person record, audited

Frequently Asked Questions
What does it cost a management company?
The same as a board: one dollar per unit per month with a $59 minimum per community and 60 cents per unit past 200. Once your portfolio passes 1,000 doors, every unit bills at 70 cents with no minimum. Ten percent off paid yearly, a 30-day free trial, no contract, no seat fees. Resale documents are included; the requester pays for each one.
How do we move a portfolio over?
One community at a time, each with its roster from a sheet, the company chart of accounts, and opening balances as of a conversion date. Run one community for a month, then bring the rest.
Can board members sign in?
Yes. A board member is invited from their seat and signs in scoped to that one community, with none, view, or edit access per module.
Can a manager see what an owner sees?
Yes. A manager opens one owner's portal from the unit or the person record. Everything done there is logged under the manager's name.
Do you take a cut of dues?
No. Card payments carry 3.25 percent plus 30 cents and bank payments 1 percent, and the association decides who pays that. Havn does not add a markup.
